Record Keeping for Cannabis Manufacturing
Course
Manufacturing is a critical part of the cannabis industry. Cannabis Retailers rely on the cannabis products from manufacturers for their businesses. Record keeping is another important part of the manufacturing process.
Manufacturing companies must keep and maintain records for the entire process including but not limited to:
- Department issued manufacturing license or licenses.
- Personnel records, including each employee’s full name, social security, or individual taxpayer identification number, date of beginning employment, clearance and access levels and date of termination of employment if applicable and any other personnel records as required by the state.
- Records related to employee training including, but are not limited to:
- the date or dates training occurred,
- description of the training provided, and
- the names of your employees that received the training.
- All supporting documentation for data or information as required by track and trace or seed to sale software manufacturing plans & schedules.
- Any records evidencing compliance with the environmental protection measures as outlined by the state.
- Your financial records related to the licensed commercial cannabis activity, including bank statements, tax records, sales invoices, and sales receipts.
You may also need to have contracts with other state licensed cannabis businesses as well as permits, licenses, and other local authorizations to conduct the licensee’s commercial cannabis activity’s accessible from an onsite file management system.
Record Retention
Just like cannabis licensees, manufacturing facilities must keep and maintain their records related to commercial cannabis activity for the time period defined by their state. Typically companies are required by law to maintain records for 5-7 years, even after they close.
The regulatory authorities may examine the books and records as it deems necessary to perform its duties. It is important that records are kept in a manner that allows the records to be produced for the regulatory agencies by the cannabis business in either hard copy or electronic form, whichever the local regulatory agencies requests.
Businesses may choose to contract with a third party to provide custodial or management services of the records but the business is still responsible for the records
